A leading facilities maintenance and property services firm. Our client is a fast-paced, high-growth organization that prides itself on operational excellence and the integration of modern technology—including internal AI tools—to streamline maintenance workflows.
We are seeking a highly organized and proactive Operations Co-ordinator to act as a central support pillar for the leadership team, including the Chief Operating Officer (COO).
- Contract: Full-time (40-hour week) UK
- Location: 100% Remote (Work from Home)
The Role: Impact & Responsibilities
This is a varied, fast-paced position where you will provide critical day-to-day assistance to Operations Managers and Account Managers. You will be the "glue" that keeps operational processes moving smoothly across multiple departments.
Key Responsibilities
- Operational & Executive Support: Provide direct support to the COO on business initiatives and assist Account Managers with system queries and workflow efficiency.
- Systems Troubleshooting: Act as the internal point of contact for platform issues, assisting with staff onboarding and training on company systems (including proprietary AI tools).
- High-Level Communication: Draft professional client responses and handle complex complaint resolutions, ensuring a consistent and polished brand voice.
- Cross-Departmental Collaboration: Step in to provide temporary support to various departments during peak periods to maintain service levels.
- Project Assistance: Contribute to large-scale operational projects and help implement new business-wide initiatives.
Who You Are
- A Master Organizer: You have at least 4 years of experience in organizational and management roles, allowing you to juggle multiple stakeholders with ease.
- Maintenance Savvy: You have a deep understanding of the reactive maintenance or facilities management sector.
- Tech-Forward: You aren't intimidated by new software; you enjoy learning internal systems and teaching others how to use them effectively.
- Adaptable: You thrive in a "fluid" environment where priorities can shift quickly, and you remain solution-focused under pressure.
- Professional Writer: You have an excellent command of written English, capable of drafting nuanced correspondence for high-stakes client interactions.
Requirements
- Reactive Maintenance Experience: A minimum of 5 years in the reactive maintenance industry is required.
- Core Skills: At least 4 years of proven experience in management, organizational, and communication-heavy roles.
- Communication: Exceptional interpersonal skills and the ability to work independently while remaining a team player.
- Industry Knowledge: (Desirable) Experience within property services, engineering, or trade-based environments.
