Job Description:

The Operations Co-Ordinator plays a key support role within the Operations team, providing day-to-day assistance to Operations Managers and Account Managers across the business. This is a fast-paced, varied position that requires strong organisational skills, adaptability, and the ability to support multiple departments when required.

Working within a facilities maintenance environment, the role involves supporting operational processes, assisting with system queries, helping manage communications and complaints, and contributing to wider company projects. The position also works closely with the COO to support operational priorities and business initiatives.


Key Responsibilities

Operational Support

  • Provide day-to-day support to Operations Managers and Account Managers with system queries, processes, and operational tasks.
  • Assist teams in resolving operational issues and improving workflow efficiency.
  • Support the COO with administrative, operational, and project-based tasks as required.

Systems & Internal Support

  • Act as a point of contact for internal system questions and troubleshooting.
  • Assist with onboarding new staff onto company platforms and operational systems.
  • Support internal training relating to company systems, including the internal AI tools used across the business.

Communication & Complaints Handling

  • Assist colleagues with drafting professional communications, including client responses and complaint handling.
  • Support the resolution of customer complaints by helping structure responses and ensuring consistent, professional communication.

Cross-Department Support

  • Provide temporary operational support to other departments during busier periods to help manage workload and ensure service levels are maintained.
  • Assist with large-scale projects and operational initiatives when additional resources are required.

General Operations

  • Maintain a proactive approach to supporting operational efficiency across the business.
  • Adapt quickly to changing priorities within a fast-moving facilities maintenance environment.
  • Build a strong understanding of engineering, trade, and maintenance operations to better support teams.

  • Experience within facilities maintenance, property services, or engineering/trades environments.
  • Experience supporting operational teams or management.
  • Familiarity with internal systems, helpdesk platforms, or workflow management tools.
  • Experience supporting onboarding and staff training.
